MCS is looking for a Operational Administrator to join its Peterborough offices, based in Glinton, to provide administrative support to the Regional Service Managers, allowing them to focus on operational leadership, engineer performance, and customer relationships.

This role is for someone who has a high-level attention to detail, is process-driven and proactively looks to effectively communicate with both internal and external contacts to achieve its goal of delivering to the customer through team working.

McIntyre Compliance Services is a trusted compliance safety company carrying out tests / services to make sure customers properties are safe and meet current legislations. We currently maintain, service and repair over 70000 housing association and local authority properties across the UK.

Key responsibilities:

  • Manage daily inbound administrative queries, filtering non‑technical enquiries (e.g., missing photos, incomplete asset tests, missing certificates, job record inconsistencies).
  • Perform desktop asset validation checks, ensuring all test evidence, certifications and job data meet quality requirements.
  • Oversee timely and accurate approval of purchase orders (POs), escalating issues where required.
  • Manage “Tagged Jobs”, ensuring all required information is gathered and completed before jobs proceed.
  • Support the closure and progression of jobs through simPRO or other job management systems.
  • Assist with maintaining audit trails for invoicing and customer approvals
  • Validate job notes, SLA compliance, and status changes to ensure operational accuracy.
  • Check Follow Up Required (FUR) tasks, verifying engineers provide parts, time, and justification data.
  • Process weekly engineer timesheets, ensuring accuracy and chasing missing information.
  • Support RSMs with administrational load relating to asset management, paperwork, remedials progress, and scheduling checks.
  • Maintain and update job files, certifications, photos, and system documentation.

  • Assist in the preparation of weekly/monthly performance reports, including compliance levels, job ageing, and backlog analysis.
  • Maintain accurate regional logs for remedial actions, FOW (Follow‑On Works), outstanding documentation, and cost‑centre usage.
  • Update spreadsheets, trackers, and SharePoint records to ensure accurate reporting.
  • Support the operational efficiency programme by identifying repeat issues, bottlenecks, and training needs.
  • Participate in SOP development for SP1 jobs, job naming conventions, certification flows, etc
  • Suggest process improvements for workflows, documentation standards, and data quality.

Key Skills and Attributes:

  • Solid understanding of planning systems, considering geographical locations to schedule engineers as efficiently as possible.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
  • Excellent time management skills and the ability to prioritise workload.
  • Excellent written and verbal communication skills, as our servicing engineers will be relying on you to share key information on a day-to-day basis.
  • Strong organisational skills with the ability to multi-task whilst maintaining a high attention to detail.

In return for your commitment and expertise, you will get:

  • A base salary between £24,000 - £ 25,000 depending on experience,
